Posting Summary
Rutgers, The State University of New Jersey, is seeking a part time Secretary II for the department of Medicine at the Robert Wood Johnson Medical School.

The Secretary II provides administrative services for the Department of Medicine, Division of Endocrinology.

Among the key duties of this position are the following:
  • Coordinate and schedule appointments, meetings, and events for the division head and staff.
  • Manages the calendar to avoid scheduling conflicts and ensure efficient use of time.
  • Handle incoming and outgoing communications, including emails, phone calls, and written correspondence.
  • Assists in preparing official letters, memos, and reports.
  • Organize and coordinate division meetings, including scheduling, preparing agendas, and distributing relevant materials.
  • Take minutes during meetings and distribute them to relevant parties.
  • Arrange travel plans, including booking flights, accommodations, and transportation, for division chief and members attending conferences or other events.

Qualifications

Minimum Education and Experience
  • Graduation from an accredited program in secretarial studies plus three (3) years of full-time secretarial experience.
  • An additional year of experience is required in lieu of the secretarial program.
  • College credits may be substituted on a year-for-year basis for secretarial experience.
  • Up to sixty (60) credits may be substituted for two years of secretarial experience.

Certifications/Licenses
Required Knowledge, Skills, and Abilities
  • Proficiency in computer skills and knowledge of Microsoft Office Suite.
  • Demonstrated excellent telephone and customer service skills.
  • Ability to handle multiple tasks accurately in a fast-paced environment.
Preferred Qualifications
  • Proficiency in typing and word processing skills required. Experience with additional software packages.
  • EMR experience strongly desired.

Physical Demands and Work Environment
  • Physical Demands: Standing, sitting, walking, talking or hearing. No special vision requirements. Moderate physical effort (lift/carry up to 29=0 pounds) for office supplies delivered.
  • Work Environment: Moderate noise (examples: business office with computers and printers, light traffic).
